Order tracking is a method to find the status of the reports that are requested by the provider for a particular patient could be a lab report or x-rays for further process of the treatment. Order tracking can be of two types internal and an external order tracking (EOT)

Features
Following is the information required by the order tracking application to process the patient’s test results:

  • Patient name
  • Patient DOB
  • Order type (labs, x-rays, procedure)
  • Order (specifies the order example: chest x-rays)
  • A single order such as labs may have multiple items e.g., blood count, chem. Panel, urinalysis)
  • Date ordered
  • Ordering provider
  • Facility where service is to be provided (internal/ name of external facility)
  • Person responsible for completion (if an internal order)
  • Status (Ordered, order completed, result received)
  • Order tracking takes the information and alerts the user with the updated tasks
Internal Order Tracking

Internal order tracking enables orders by the provider for lab reports and procedures within the practice with information provided by the physician the receiver on the other end would be alerted.

Functionality:
  • Create a new task and assign the task to another user in the hierarchy in the same group or in another group
  • Reassign the task
  • Edit task status
  • Assign/reassign expected date of completion
  • Capture comments, reasons
The System shall also keep track of the following:

  • The task assigner
  • Task assignee
  • Are the concerned personnel on leave or already assigned with any other task
  • If yes, is the task been reassigned, to whom is it reassigned
  • When is (date and time) the task assigned
  • Expected date of task completion
  • Update status of the task like assigned, pending, completed, need input from another entity etc
  • The reason for non-completion of the task if it is not completed like does the user need clarification/awaiting input etc
  • Date and time of completion
  • Comments (if any) about the task

External Order Tracking

External order tracking enables orders given out of the practice by a provider for re-scheduling or lab analysis.

Functionalities
  • The System shall keep track of the reason for EOT.
  • The System shall also save the relevant info of EOT such as date, time, and the person who assigned the task, the user to whom the task is assigned.
  • The System shall enable an interface to connect and share relevant data with the External Service.

An order tracking helps update the test results and progress of the task assigned spontaneously the statuses of the task are updated as pending or completed.
